1. Review the transaction, not just the payment receipt
Sign in and inspect the transaction or confirmation page. Record:
- The transaction type: regular application or online renewal
- The NBI reference number
- Whether the status is unpaid, pending, paid, processing, or another status
- The selected branch, if any
- The appointment date and AM or PM schedule, if any
- Whether delivery or pick-up was selected
- The delivery address or stated pick-up location
- The amount, payment channel, payment date, and payment transaction number
- Any on-screen message, QR code, email, or text confirmation
A payment receipt proves that money was sent, but it does not necessarily prove that a branch appointment was created.
2. Save evidence before changing anything
Take full-page screenshots showing the website address, date and time, your transaction details, and the missing appointment field. Also preserve:
- The reference number and QR code
- E-wallet, bank, or payment-center receipt
- Confirmation emails and text messages
- Any error message
- The device and browser used
- The date and approximate time the problem occurred
- The name of any NBI employee or helpdesk representative who assists you
When sending screenshots to anyone other than an official NBI channel, cover unnecessary personal information, ID numbers, birth dates, QR codes, PINs, and payment credentials.
3. Do not immediately create and pay for a second transaction

When a branch appearance is still necessary
A branch visit may be required when:

If your name, civil status, birth details, or other material information is wrong or has changed, do not accept an inaccurate clearance merely to avoid an appointment. The clearance has a “hit”
A “hit” means the application requires further verification. It is not, by itself, a finding of guilt or proof that the applicant has a criminal record. Follow the return date or interview instructions issued by NBI. That later date is a releasing or verification instruction, not necessarily the original online appointment date.

Do not rely on the domestic appointment screen. The NBI’s mailed-clearance procedure uses NBI Form No. 5, fingerprinting through the Philippine Embassy, consular office, or other authorized office, and submission by mail or an authorized representative. For renewal through this procedure, the NBI states that only clearances issued from 2014 onward may be renewed; earlier clearances are treated as new applications.

If the clearance is urgently needed
Contact the employer, licensing office, school, embassy, or other requesting institution immediately.
